Things to Consider:
This is the United States Postal Service. Our mail does not come overnight. When mailing a letter, please consider how far it must go before it is received by the home office.
We only pick up mail on Monday. If you sent it on a Wednesday, we’re not getting it by Friday. Please do not ask us if we have gotten it.
Please do not put anything in your envelope except your letters and hugs. Confetti and glitter are unwelcome guests at the office.
If you are sending hugs, please abide by the guidelines so they fit into envelopes for the recipients. If they do not fit, they do not ship.
If you are looking for confirmation of hours and do not see them on the portal, we know. The portal is broken. We manually push through the data at the end of each month. If your information still isn’t showing, please email Robert@lettersagainst.org.
To Answer What You Really Want to Know
What happens after your letters and hugs get sent in the mail to our headquarters in Florida?
Your mail will come to our jumbo PO BOX!
Rob picks up the mail once a week, every Monday. He then takes it back to his office where he starts the process of sorting the mail.
First, he opens the packages which contain hugs. This is so he can put them in with the letters which are going out that week. He tries hard to find a hug that will fit each letter.
Second, Rob will sort the letters. He uses the ID numbers on the back of the envelopes to aid in this process.
Once Rob is done sorting, he begins processing the letters. He takes the time to read each letter for content, quality, and to make sure the letter aligns with the person you are writing too. Please follow our letter writing guidelines, which are available to you in the Volunteer Portal.
If the letter is good, he logs the letter to the Volunteer portal, often with a note of thanks, and logs your volunteer time.
If the letter does not pass this inspection, he will let you know why and provide further feedback so you can improve. We do not want to discourage anyone, so please be aware this does not happen often!
Rob will then transfer the letter(s) to a new envelope, along with any hugs, and address it to the intended recipient.
Rob continues to read the letters and log them all week.
Once he has completed this, he rounds up all the completed letters and drops them in the mail to be on their way to the recipients. This could be you!
How long does this typically take?
Turn around time is typically 1-3 weeks depending on where you are mailing from. It is likely that it can take another week or two to reach the recipient. So a letter your write right now will arrive in the hands of the recipient in 3-6 weeks, depending on where you are in relation to us and where we are in relation to them.
